PriceLabs for revenue managers: automate pricing and save time

Hello! My name is Marie Fages, and before joining PriceLabs as a Solutions Consultant, I spent about six years working as a Revenue Manager, most of it as a consultant across a wide range of properties and markets. This is what changed once I started using PriceLabs as my pricing platform, and where it actually fits into a revenue manager's day-to-day work.

PriceLabs for short-term rentals and revenue managers

Founded in 2014, PriceLabs now prices more than 600,000 properties daily across 150+ countries, trusted by over 60,000 hosts and property managers, and keeps building tools for every type of accommodation: apartments, serviced apartments, hotels, guest houses, and more.

A Revenue Manager's job isn't limited to setting prices and restrictions. The more of that gets automated, the more time is left to define a strategy that actually grows revenue.

Manually updating prices every day is slow and leaves room for error. PriceLabs automates that process and gives price recommendations based on data, so you spend less time on updates and more time on decisions, while staying in full control. You can always override prices and restrictions as you see fit.

How PriceLabs fits into a revenue manager's workflow

PriceLabs' real competition isn't another piece of software. It's a spreadsheet-and-instinct workflow: manually repricing a portfolio across OTA extranets and a mental model of what feels right for each market. That approach doesn't scale past a handful of properties, and it makes it hard to prove a pricing strategy is actually working.

Automating the repricing layer changes what a revenue manager's day looks like. Instead of updating rates listing by listing, you're reviewing pacing, reacting to demand shifts, and deciding where a manual override should beat the algorithm, a different and more valuable use of the role. PriceLabs helped Becca increase ADR by 50% after she moved off static seasonal rates, and helped Joaquín grow RevPAR by 32% once pacing data caught underpriced periods before they filled up.

That's the trade PriceLabs is built around: hand the repetitive, error-prone parts of pricing to an algorithm backed by market data, and keep the strategic calls, contract negotiation, and OTA content work with the person who understands the portfolio.

PriceLabs' demand detection activates during a surge in demand

Part of a Revenue Manager's job is staying on top of everything happening in your market so you don't miss an opportunity to raise prices. PriceLabs' algorithm includes a demand detection factor that pushes higher rates on your property whenever there's a surge in local demand. By default, it also applies a far-out premium that protects your property from getting a low-priced booking with a long lead time.

Managing orphan gaps is easy with PriceLabs

Reviewing orphan gaps in your calendar daily gets difficult fast, whether you manage a handful of properties or an extensive portfolio. PriceLabs automatically tackles these gaps for you. You can build rules that raise your rate when the minimum stay drops to one night, or automatically loosen restrictions for last-minute bookings.

You can also make your minimum stays dynamic, applying more restrictions further out and becoming more flexible closer to arrival. PriceLabs lets you build different minimum-stay profiles so your restrictions flex depending on how much time you have left to book the property. Far out, the system raises your minimum stay; closer to the date, it drops to help capture last-minute demand.

Multi-calendar view for your whole portfolio at a glance

Handling many listings gets easier with a multi-calendar view that shows occupancy and pricing across your entire portfolio in one screen, instead of building your own version in a spreadsheet. If something needs a quick fix, you can apply a Date-Specific Override directly from there.

Analyze data in Portfolio Analytics to understand your listings' health

Presenting and analyzing data is a big part of a revenue manager's job. Portfolio Analytics gives you the data to do that: export graphs and the key performance indicators (KPIs) you need to assess portfolio health, whether that's for a BI tool or a board presentation.

Monthly trend data lets you spot shifts in your sales further in advance and react earlier, comparing your pace against Same Time Last Year (STLY), the market (via Market Dashboard or Neighborhood Data), and your own historical data. I monitored this closely when I was managing properties, since it's often the first sign a pricing strategy needs adjusting.

A worked example: spotting a demand shift with Portfolio Analytics

Say a portfolio is pacing behind Same Time Last Year for a given month. On its own, that reads as a slowdown. The Trends by Stay Date graph shows whether the gap is in occupancy or ADR, and the market comparison shows whether the whole area softened or the dip is specific to your listings.

In practice, that distinction matters. A listing that ran a local marketing campaign last year and pulled in extra midweek bookings will look like it's underperforming this year if the same campaign didn't run again. Without portfolio-level pacing data, that gap can look like a pricing problem worth chasing with rate cuts. With it, the real fix is relaunching the campaign or adjusting marketing spend, not the price. That's the difference pacing data makes: it tells you what's actually behind a number before you react to it.

Market Dashboards help translate KPIs into sound business decisions

Before using PriceLabs, projecting performance for a new property in an unfamiliar market meant hunting for data that wasn't always easy to find. Market Dashboards pull data straight from Airbnb and Vrbo so you can estimate occupancy, RevPAR, ADR, and other KPIs that matter for the decisions ahead of you.

You'll still need a Revenue Manager. PriceLabs is a pricing engine, but it needs human input to know your strategy and steer it in the right direction. What automating the pricing layer buys you is time back for the rest of the role: reducing intermediation costs, improving direct sales, working on OTA content, marketing the property, building forecasts, and contract negotiation.

Frequently asked questions for revenue managers evaluating PriceLabs

Can PriceLabs replace a revenue manager?

No. PriceLabs automates the repetitive parts of the job, daily rate updates, demand response, gap management, but it still needs a person to set the strategy, read market context, and decide when to override the algorithm. Most revenue managers use it to free up time for the parts of the role that need judgment, not to remove the role itself.

How does PriceLabs handle multi-property portfolios?

Multi-Calendar view gives a portfolio-wide look at occupancy and pricing in one screen, and Portfolio Analytics adds the KPI layer on top, letting you compare pacing across properties, markets, and time periods instead of reviewing each listing on its own.

What integrations does PriceLabs support?

PriceLabs connects to 150+ property management systems, along with direct connections to Airbnb and Vrbo, so pricing updates sync back to wherever the portfolio is actually managed day to day.

Conclusion

PriceLabs combines an algorithm built on real market data with room to layer in your own strategy, which is what lets a revenue manager scale a portfolio without scaling the manual work that comes with it.
